Employer’s Responsibilities for Reporting News Hires
Effective October 1, 1998, state and federal laws require all employers to report each new and rehired employee to the State Directory of New Hires.

All Florida employers are required to report all newly hired employers to the New Hire Reporting Center within 20 days of the hire date. Please visit www.fl-newhire.com to print a blank form.
New Hire Reporting is mandated by Florida Statue 409.2576 and the Federal Personal Responsibility and Work Opportunity Reconciliation Act of 1996 (PRWORA).
How often should I report?
Timely reporting is critical to the program’s success.
Don’t forget:
-Manual Reports (mail, fax, or phone), must be sent within 20 days of the hire date.
-Electronic Reports must be sent at least two times per month (if employees you have new employees), 12 to 16 days apart.

Why is new hire reporting important?
Employers play a pivotal role in helping Florida’s children receive the support they need. Those who don’t receive the court ordered financial support from a parent often are required to depend on public assistance programs. By complying with the requirements of the new hire reporting law, you will help children receive support to which they are entitled.
How do I report a New Hire?
1. Gather Information
You’ll need to gather:
-Your company name
- Your company address
- Employers address to be used for income deduction orders*
- Federal Employer Identification Number (FEIN)
- Your company’s Florida Unemployment Compensation (UI) Number*
- Employee’s name
- Employee’s mailing address
- Employee’s Social Security Number (SSN)
- Date of Hire
- Date of Birth *
- Medical insurance availability*

2. Create the Report
To create the report, you can use:
- Internet reporting at www.fl-newhire.com
- Electronic reports via diskette
- Electronic File Transfer
- Microsoft Excel in electronic format (if interested contact the center first)
- New Hire form (available on the Web site)
- Computer print out or other list of employees
- W-4 Form (including company name, address, and FEIN)
3. Submit the Report
Reporting New Hires is now easier then ever. Employers may report on line over the internet, by electronic tape, by diskette, by fax, by mail or phone. Visit the web site or call for a copy of the New Hire Reporting form. When faxing reports do not send a cover sheet. Your payroll service can also report your new hires.
